How do I create and sign an electronic contract for an existing tenancy?
You can initiate the creation and signing of an electronic contract for any active tenancy at any time, independent of the initial move-in process. This is useful for formalizing agreements after a tenancy has already begun.
Path
Step-by-Step Guide
After initiating the process, follow these steps to complete the contract creation.
Step 1: Select the Tenancy (for Path 2)
If you started from Path 2, you will first need to search for and select the correct tenancy. After selecting it, carefully review the Tenancy Information displayed to ensure it is accurate, then click Next.
Step 2: Define Document Details and Signatories
- Enter a Document Name and select any relevant Categories.
- Specify the contract signatories:
- Lessee (Tenant): This field is automatically locked and populated with the tenant from the selected tenancy.
- Lessor (Landlord/Agent): You have different options for who receives the signing invitation. You can select your Company (the invitation link will be sent to the main company email) or a specific Individual user (the link will be sent to that user's personal email).
Step 3: Choose a Template and Configure Options
- Select the appropriate contract template from your list of pre-configured templates.
- (Optional) Including a schedule of charge: You can check this box to attach a schedule of all planned charges for this tenancy to the end of the contract.
Important Note: This schedule is a snapshot of the billing plan at the time of contract creation. Since charges can be manually adjusted during the tenancy, be aware of the potential legal risks of including a schedule that may not reflect future changes.
Step 4: Preview and Send for Signature
- Click Next.
- The system will generate a preview of the electronic contract by populating the selected template with the tenancy's information.
- Review the document carefully to ensure all details are correct.
- Once you are satisfied, send the document for signing. Both parties will receive an email with a unique link to complete the electronic signature process.
