How do I process an early termination for a tenant?

This guide will walk you through the process of handling a tenant's check-out, including sending the official notice and finalizing the tenancy termination.

 

Step 1: Send a Check-Out Notice

The first step is to send a formal check-out notice. Based on your agreement with the tenant and your business rules, you can select the appropriate type:

  • Checked Out On Schedule: For standard check-outs at the end of the lease term.
  • Early Termination: When a tenant checks out before their official lease end date.
  • Late Move-Out: When a tenant vacates the property after the lease has expired.

Once the notice is sent, the Detailed Status of the tenancy will be updated to reflect that the tenant has been notified.

Step 2: Finalize the Check-Out (End Tenancy)

On the agreed-upon check-out date, you can proceed to formally end the tenancy in the system. This process involves three key stages:

  1. Tenancy Details: Confirm the final check-out date, the type of check-out (as selected in the notice), the reason, and add any internal remarks.
  2. Financials: Review and finalize any outstanding financial matters related to the tenancy.
  3. Summary & Submission: Review a summary of the move-out details. Once you submit, the tenant will receive an official move-out confirmation email.

 

Step 3: After Completion

After the End Tenancy is successfully processed:

  • You can view the detailed summary at any time.
  • The tenant will be officially moved out of the unit, and the unit's status will revert to vacant.
  • The tenancy's main status will be updated to Ended.

 

Important Note on Early Termination: Please be aware that selecting Early Termination is a manual choice based on the negotiated outcome with your tenant. The system does not automatically determine this status based on the check-out date relative to the tenancy's end date. It is crucial to select this option specifically when a mutual agreement for early termination has been reached.
